General Terms and Conditions – Introduction Week Haarlem (Participants)
By registering for the Introduction Week, you automatically agree to the following general terms, conditions, and house rules. These rules are established to ensure the safety, enjoyment, and continuity of the Introduction Week. The Introduction Week Committee and mentors will strictly enforce these rules.
The organization reserves the right at all times to immediately and without discussion remove participants who do not comply with these terms from the Introduction Week, without refund of the registration fee.
Important Rules
Violation of any of the following rules will result in immediate exclusion from further participation in the Introduction Week:
- No alcohol consumption for participants under the age of 18.
- No providing alcohol to anyone under the age of 18.
- No soft or hard drugs, including cannabis, nitrous oxide (laughing gas), or any other intoxicating or stimulating substances.
- Comply with general standards of decent behavior, including but not limited to:
- No public urination.
- No vandalism or destruction of property. If damage or loss occurs, all related costs will be recovered from the responsible individual.
- No intimidating, aggressive, or inappropriate behavior.
- No causing nuisance or disturbance to local residents or third parties.
- You must keep your alcohol consumption under control.
- Excessive alcohol use that leads to dangerous or disruptive situations is not permitted.
- Treat the organization and mentors with respect.
- Treat fellow participants with respect.
- Follow all rules and instructions given by the organization.
- Do not argue with mentors or committee members regarding imposed measures.
Additional Rules and Points of Attention
The following rules apply throughout the entire Introduction Week:
- Compliance with instructions from mentors, committee members, and any security personnel is mandatory.
- Discrimination, intimidation, bullying, sexual misconduct, or violence will not be tolerated.
- It is prohibited to damage or use property belonging to others or to venues without prior permission. Any resulting damage or loss will be charged to the responsible individual.
- Participants are personally responsible for their belongings; the organization is not liable for loss or theft.
- Leaving the group or activities without permission from a mentor is not allowed.
- The use of fire, fireworks, or dangerous objects is prohibited.
- Participation in activities is at your own risk, always within the safety guidelines set by the organization.
- In case of medical conditions, medication use, or other special circumstances, you are required to inform your mentor in advance or as soon as possible.
Liability and Safety
The organization makes every effort to ensure that the Introduction Week takes place as safely as possible. However, participation is entirely at your own risk. By registering, you declare that you are physically and mentally fit to participate in the activities.
Compliance with these rules is essential to guarantee everyone’s safety and to ensure that the Introduction Week can continue in the future.
Cancellation of participation
Cancellation of participation in the Haarlem Intro Week must be done in writing or by email. The date of receipt of the cancellation applies as the cancellation date.
If the participant cancels the agreement, he/she owes cancellation costs to the organization. These costs amount to a percentage of the total participation costs and are structured as follows:
a. For cancellation up to the 30th day (exclusive) before the start: 25% of the participation costs
b. For cancellation from 30 to 21 days before the start: 40% of the participation costs
c. For cancellation from 20 to 15 days before the start: 60% of the participation costs
d. For cancellation from 14 to 8 days before the start: 80% of the participation costs
e. In the event of cancellation from the 7th day (inclusive) before the start and later: 100% of the participation costs
If the participant does not attend Introweek Haarlem without prior cancellation, this will be considered a cancellation on the day of commencement and 100% of the participation costs will be due.
Any amounts already paid will be offset against the cancellation costs due.
The organization reserves the right, at its own discretion, to deviate in whole or in part from the above regulation in exceptional cases (such as demonstrable medical reasons).
Final Remarks
The same rules apply to everyone. These conditions are not intended to be restrictive, but to ensure a safe, enjoyable, and unforgettable Introduction Week for all participants. By registering, you confirm that you respect these rules and support the Introduction Week Committee and mentors in enforcing them.
